Emailing requests for further information

    Our Authority has become e-enabled, as is accepting electronic claims

    We are keen to email requests for further information for these claims to the customer, as oppose to producing and posting a paper letter. This has efficiency savings in the form of both time and cost.

    Can I just check that I have not missed anything before doing so, such as a legislative requirement to produce a paper request?

    Co-incidentally I was looking at A18/2006 only yesterday. There is a bit in there about emailing info requests to customers so I would have assumed it was ok. However, this predates GCSX doesn’t it?

    On the subject of GCSX its been suggested to me that we could send stuff out from a GCSX account to a non GCSX account (the thinking is that its been “sent” securely) however our IT guys have read the CoCo very stricly and prevented sending to non GCSX accounts under the non autoforwarding requirement. How have other authorities read this part?

    Looking at para 4 of Schedule 11 to the HB Regs it seems that it would probably be legal in HB terms to issue the request electronically. But from the security point of view, do claimants a secure login to their account on your server? If so, could they receive an email alert and login to find the substantive message in their secure area (a bit like Facebook)?

    Also, I thought the point of GCSX was to protect third party information – when A contacts B concerning C? Does the protocol necessarily apply to private exchanges between A and B that have nothing to do with C? I have seen email correspondence about things like appeals at many different Councils and the claimats are just using bog standard web mail accounts.
