HBMS and evidence for PM11

    IN true HBinfo fashion – there’s no such thing as a stupid question…..

    How do sites evidence the resolution of matches within the 2 months for HBMS?

    “A data-match will be resolved when the HBMS Results Sheet has been returned to HBMS indicating that one of the four criteria stated in paragraph 3.21 later in this part has been achieved”

    The measure requires evidence of receipt from the DWP – but they don’t actively supply this – so if the LA sent off the data within the time limit via email but the email wasn’t read until outside the 2 months – then does this constitute a failure for PM11? 😥

    When you receive your Matches they come with a spreadsheet which (in our case) we complete and e mail back to HBMS. Our computer although capable of recording what has been checked is not actually any good for the return so we keep the spreadsheet and update them as we go along. If you allocate (or not) the referalls and complete the spreedsheet (which normally takes a day in our case) you have your initial return done and dusted within 24 hours – HBMS then notify you regularly of your current status. The e mail address is HBMS@Dwp.gsi.gov.uk.
    When investigations are completed I have a blank spreedsheet which I cut and paste the results into from the original then mark the original by highlighting a row in a different colour. Then every so often (fortnightly?) I email the results from the blank email to HBMS.
    I hope this makes sense as was you get used to this method it becomes very quick and easy – and you never fail to meet the PM.

    Hi, can we ask what software system you operate please? Is it Academy by any chance!!

    We’re having all sorts of problems managing HBMS matches through the ‘functionality’ provided by Capita and are consequently, forced to control everything manually.

    We were very interested to read that you’re able to complete your return within 24 hours and would like to know more! Are you returning all matches with a 4z status or do any of your matches need to go to your assessment teams for correction of data? When you say ‘allocate’ referrals, so you mean allocate to investigation?

    Yes it is ‘good old’ Academy – so I have learnt to improvise and get the targets right. I do very little 4z ing – but complee the return correctly and then update if things change later. I have left a message for Lynn to ring me when she gets back from lunch so I can explain how I do the biz.
