I have come across a claim where the claimant has been created four times and therefore has four PIN numbers. Unfortunately all claims have been active at one time or another although only one is active at present. Is there any way that the system will allow me to remove the PIN numbers from three of the claims and input the PIN number from the active claim onto them, leaving the claimant with only one PIN number.

Only one claimant?!!! We have thousands of duplicate people on our system (mind you we’ve been there since the beginning). I’m not a system bod but I would venture to suggest that it’s impossible because the only way of doing it is to delete the duplicates, which you will not be able to do if the records are linked to transactions. I have the same issues with duplicate NINOs – a hangover from data conversion when NINOs appeared to be randomly assigned to every succeeding record until the process came across a claimant with a different one (this was back in the day when you didn’t enter NINOs on claims – can you believe that!). I’m quite prepared to be proved wrong though.

We have our CHK LIAB flag switched on as years ago we were having problems with CTB and CT accounts where different pin numbers were being used. For those claims where you want to convert to one pin number, you will have to cancel the claims and set them back up again using the correct pin. If you switch the flag on, you should then be able to validate the pin numbers used between yourselves and CT. Oh…and at the same time, do a little training session for staff on how to search for a person properly and select the correct pin!

Thanks folks. I will give this a try.
I wish I had a fiver for the amount of time that I spend going over and over the corect searching methods during my staff training. C’est la vie!!!!!!

i seem to recall northgate issued some software that allowed you to delete duplicate people on the system. I think it was round about 6.3 release. May just have been for BENS though.

Was in 6.3.1 release. ‘Merging Parties – Duplicates’ in the commuon functionality. We’ve used it a couple of times without problems, but like Chris we have THOUSANDS of duplicates PIN’s. Is very irritating |(
