Post Room Procedures

    We are having a slight problem with staffing the post room on certain days due to leave and part time wokering.

    Can anyone let me know how they cover post opening and whther they have any ideas/advice on a way forward.

    If anyone uses an external post opening firm I would be pleased to hear from them.

    PS we are not a large authority with only approx 200 pieces of HB post per day.



    The post opening function is one of the most important aspects of an Authority and any delays in opening the post/capturing the documents in a DIP/workflow system can have a significant impact on the processing of benefit claims and changes. Failure to open/scan/index documents on the date of receipt results in a knock on effect in terms of processing staff not knowing when information has been received and processing times increasing (as well as others).

    We have advised a number of Authorities in this area and we feel that adequate staffing/back up resources should always be available to ensure the smooth operation of the function – this could involve having additional staff (such as Assessment Officers) trained to deal with the function.
